Governance, management and sustainability

Regulations met

The practice had a governance system that included policies and procedures, which were accessible to staff and were reviewed on a regular basis.

Systems and processes were embedded, and the inspection did not highlight any significant issues or omissions.

Staff were aware of the importance of protecting patients’ personal information. Staff password protected patients’ electronic care records, and paper records were stored securely and complied with General Data Protection Regulations.

There were effective processes for identifying and managing risks, investigating incidents and accidents, and for receiving and acting on safety alerts.

The practice had systems and processes for learning, quality assurance and continuous improvement. This included undertaking audits according to recognised guidance.

Concerns and complaints were responded to appropriately, and outcomes were discussed to share learning and for improvement.

We noted innovative approaches to providing person centred care. For example, the practice had access to an intra-oral scanner which created a 3D digital model of the patient’s teeth without the need for traditional impressions.

Staff had clear responsibilities, and systems of accountability to support good governance.

Staff feedback was obtained through meetings, surveys, and informal discussions. They were encouraged to offer suggestions for improvements to the service, and they said these were listened to and acted upon, where appropriate. Staff described the leadership team as approachable, supportive, and receptive to feedback and new ideas. They told us that leaders actively involved staff in decision-making processes and sought their views on changes within the practice. Examples included consulting staff on initiatives and using polls to gather feedback and preferences. Staff reported receiving regular updates on clinical, operational, and financial developments, helping them understand how their roles contributed to the practice's success. They also felt comfortable raising concerns or discussing issues with team leaders and said that feedback was considered appropriately, with explanations or actions provided in response. Overall, staff feedback reflected a culture of open communication, collaboration, and staff involvement.

The practice gathered feedback from patients, the public and external partners, and responded accordingly. For example, the practice had recently purchased colouring books and crayons for children to use whilst waiting to see the dentist.

The practice had taken steps to improve environmental sustainability. For example, there were recycle bins and food waste bins. Inside the practice patients were able to recycle used dental products such as toothbrushes and used toothpaste tubes. Staff were also encouraged to turn off lights and equipment in rooms when they were not in use.
