Governance, management and sustainability

Regulations met

The practice had a governance system that included policies and procedures, which were accessible to staff and were reviewed on a regular basis.

Systems and processes were embedded, and the inspection did not highlight any significant issues or omissions.

Staff were aware of the importance of protecting patients’ personal information. Staff password protected patients’ electronic care records, and paper records were stored securely and complied with General Data Protection Regulations. Electronic devices were available at reception to aid patients filling in forms.

There were effective processes for identifying and managing risks, investigating incidents and accidents, and for receiving and acting on safety alerts.

The practice had systems and processes for learning, quality assurance and continuous improvement. This included undertaking audits according to recognised guidance.

Concerns and complaints were responded to appropriately, and outcomes were discussed to share learning and for improvement.

Staff had clear responsibilities, and systems of accountability to support good governance. Most staff had additional roles and areas of responsibility and reported feeling supported in their development. One staff member was appointed as a welfare officer and was the point of contact for any staff concerns.

Staff feedback was obtained through meetings, surveys, and informal discussions. Additional meetings were held for each job role e.g. dental nurses.

Staff were encouraged to offer suggestions for improvements to the service, and they said these were listened to and acted upon, where appropriate. For example, working hours had been amended to accommodate staff.

The practice owners have worked closely with a charity, travelling to Peru and providing dental treatment to locals and children.

Feedback from patients, the public and external partners was collected to which the practice responded. For example, seating had been upgraded in the waiting room and a variety of seats provided to suit patients. Patients had fed back that it wasn’t always easy to get an appointment and the practice responded by taking on a new associate dentist.

The practice had taken steps to improve environmental sustainability. For example, seating in the waiting room had been recycled and purchased from auction. Plastic cups for patients had been replaced with paper cups.
