Governance, management and sustainability

The practice had a governance system that included policies and procedures, which were accessible to staff and were reviewed on a regular basis.

Systems and processes were embedded, and the inspection did not highlight any significant issues or omissions. Areas requiring improvement were acted on immediately demonstrating the providers commitment to improving the service for both staff and patients.

Staff were aware of the importance of protecting patients’ personal information. Staff password protected patients’ electronic care records and complied with General Data Protection Regulations. The practice provided patients with an electronic portal to update their medical history in advance of their appointment and an electronic device to record their consent for treatment.

Relevant policies and protocols were mostly in place for the use of closed-circuit television (CCTV). Immediately after the inspection, we were provided with a completed data protection impact assessment for the use of CCTV at the practice.

There were effective processes for identifying and managing risks, investigating incidents and accidents, and for receiving and acting on safety alerts.

The practice had systems and processes for learning, quality assurance and continuous improvement. This included undertaking audits according to recognised guidance.

Concerns and complaints were responded to appropriately, and outcomes were discussed to share learning and for improvement. We saw that information for patients on how to complain was available at reception.

Staff had clear responsibilities, and systems of accountability to support good governance.

Staff feedback was obtained through meetings, digital chats, and informal discussions. They were encouraged to offer suggestions for improvements to the service, and they said these were usually listened to and acted upon, where appropriate.

The practice gathered feedback from patients, the public and external partners, and responded accordingly. For example, the practice undertook an annual patient satisfaction survey and reviewed and acted upon the results.

The practice had taken steps to improve environmental sustainability by the use of digitalised patient records, segregated recycling containers and turning off lights when rooms were not in use.
