Governance, management and sustainability

Regulations met

The practice had a governance system that included policies and procedures, which were accessible to staff and were reviewed on a regular basis.

Systems and processes were embedded, and the inspection did not highlight significant issues or omissions.

Staff were aware of the importance of protecting patients’ personal information. Staff password protected patients’ electronic care records, and paper records were stored securely and complied with General Data Protection Regulations.

There were effective processes for identifying and managing risks, investigating incidents and accidents, and for receiving and acting on safety alerts.

The practice had systems and processes for learning, quality assurance and continuous improvement. This included undertaking audits according to recognised guidance.

Concerns and complaints were responded to appropriately, and outcomes were discussed to share learning and for improvement.

We noted innovative approaches to providing person-centred care. For example, the practice allocated extended consultation appointments to ensure patients had sufficient time to understand and discuss treatment options, risks, benefits and costs before making decisions about their care. Patients were encouraged to take time to consider their options and could access additional consultations at no extra cost. The practice also took a personalised approach to supporting anxious patients by providing music tailored to individual preferences during treatment, helping to create a more relaxed and comfortable experience.

Staff had clear responsibilities, and systems of accountability to support good governance.

Staff feedback was obtained through meetings and informal discussions. They were encouraged to offer suggestions for improvements to the service, and they said these were listened to and acted upon, where appropriate. For example, changes were made to treatment trays to make equipment easier to access, resuscitation training included scenarios in the dental chair to reflect real situations in the practice, and staff regularly shared learning from training courses with the wider team.

The practice gathered feedback from patients, the public and external partners, and responded accordingly. For example, patients reported that some of the chairs in the waiting area were too low, so the practice introduced a higher chair to support those who found it difficult to stand from a seated position. Patients also provided feedback that the amount of information provided during appointments could be difficult to remember, and in response the practice began providing written information where appropriate to support understanding and decision-making following their appointment.
