Governance, management and sustainability
The practice had a governance system that included policies and procedures, which were accessible to staff and were reviewed on a regular basis.
Systems and processes were embedded, and the inspection did not highlight any significant issues or omissions.
Staff were aware of the importance of protecting patients’ personal information. Telephone calls to the practice were answered by treatment co-ordinators at the practice in an office away from the reception and waiting area to maintain confidentiality. Staff password protected patients’ electronic care records, and paper records were stored securely and complied with General Data Protection Regulations. Signed documents were stored electronically in patient records, this helped to improve data security.
Relevant policies and protocols were in place for the use of closed-circuit television (CCTV).
There were effective processes for identifying and managing risks, investigating incidents and accidents, and for receiving and acting on safety alerts.
The practice had systems and processes for learning, quality assurance and continuous improvement. This included undertaking audits according to recognised guidance.
Concerns and complaints were responded to appropriately, and outcomes were discussed to share learning and for improvement.
Staff had clear responsibilities, and systems of accountability to support good governance.
Staff feedback was obtained through meetings and informal discussions. There was a suggestions box in the staff room where anonymous comments and suggestions could be recorded by staff. They were encouraged to offer suggestions for improvements to the service, and they said these were listened to and acted upon, where appropriate. Staff told us, “The Practice Manager is very approachable, and you always feel listened to and what you have to say is important,” and “Our practice manager is approachable and always happy to have a chat,” and “We have an amazing manager and owners, their door is always open for any situations or problems. They always have time to listen to us.”
The practice gathered feedback from patients, the public and external partners, and responded accordingly.
The practice had taken steps to improve environmental sustainability. For example, the practice has been involved in schemes to recycle toothbrush heads, manual toothbrushes and interdental cleaning aids. Careful stock control was in place so that items were not over ordered. General waste was recycled wherever possible. Staff made sure that they turned off lights when not in the room and they were trying to reduce the amount of paper used.
Staff told us that they were happy working at the practice. We were told, “People feel valued at the practice. They are respected, praised and encouraged to develop. There is a culture of excellence and striving to do the best for the patients and each other. I think we all like being a part of that and trying to make the practice better year on year,” and “The practice is well run with clear organisation and effective leadership. Day to day operations run smoothly and there is a strong focus on teamwork and patient care.”
